About the Roles

We are seeking a Child Welfare Student, Holocaust Survivor Emergency Assistance Program (HSEAP) Intern, Human Resources Intern, Marketing Intern, Office Administration Intern, and a Research and Evaluation Intern to assist with various tasks at our 4600 Bathurst Street location. These are full time contract positions under the Canada Summer Jobs program for up to 420 hours.

 

Key Responsibilities:
 

Child Welfare Student:

  • Upload and organize documents within the Child Protection Information Network (CPIN)

  • Assist in preparing client files for disclosure in accordance with legal and organizational requirements.

  • Support the coordination and scheduling of meetings.

  • Conduct research on community resources and services to support client needs.

  • Provide administrative support to Child Welfare staff as required.

  • Maintain organized and accurate records, ensuring confidentiality and compliance with agency standards.

  • Collaborate with team members across Child Welfare and Legal departments.

 

Holocaust Survivor Emergency Assistance Program (HSEAP) Intern:

  • Return to intake inquiries and return phone calls, ensuring professional and compassionate
    experience for clients.

  • Organize, scan, and manage incoming documents, maintaining accurate and confidential client records.

  • Forward emails and relevant information to appropriate staff in a timely manner.

  • Provide administrative support to the HSEAP team, including client-facing interactions when appropriate.

  • Assist with scheduling, data entry, and other administrative tasks related to the HSEAP program.

  • Perform other duties as assigned.

 

Human Resources Intern:

  • Input historical data into the Human Resources Information System (HRIS) and training database.

  • Provide administrative support to the HR team.

  • Maintain HR and employee files by scanning, copying, and filing HR documents in accordance with legal and administrative requirements and policies.

  • Assist in compiling, inputting and preparing HR related statistical data.

  • Collaborate with HR team in organizing and coordinating staff training events.

  • Develop and modify internal and external job postings.

  • Perform resume screenings.

  • Assist with the HR Scanning Project.

  • Perform other duties as assigned.

Marketing Intern:

  • Assist with social media content creation and scheduling.

  • Support marketing campaigns and promotional activities.

  • Help update website content and marketing materials.

  • Conduct basic market research and competitor reviews.

  • Assist with event planning and coordination as needed.

  • Perform general administrative tasks related to marketing projects.

  • Perform other duties as assigned.

Office Administration Intern:

  • Assist with various administrative tasks to support Agency programs and teams.

  • Provide reception coverage for vacation, sick, lunch breaks, and the occasional evening.

  • Provide assistance for case file maintenance, including scanning.

  • Organize and maintain proper record filing.

  • Assist in coordinating the logistical aspects of Agency programs and services, such as meetings, seminars and other events.

  • Administer and manage inbound/outbound mail, including priority post, packages, courier services and other correspondence.

  • Maintain stock area in clean and presentable manner; ensure adequate level of office supplies.

  • Perform other duties as assigned.

Research and Evaluation Intern:

  • Assist in seeking out and reviewing criteria for funding opportunities

  • Conduct research into program and community trends

  • Assist with the writing of grant opportunities, including eligibility, funding parameters, funder priorities, etc.

  • Provide administrative support with oversight and monitoring of research and evaluation projects and ensure project goals are met within the context of grant terms.

  • Assist with the development of staff feedback surveys, data collection, analysis, report writing and sharing of the results

  • Develop plain language reports, summaries, visualizations, and one-pages that tell the story and share the results of: Service Delivery Trends, Client and Staff Survey results, Program Outcomes and other relevant trends and outcomes.

  • Support the analysis and reporting of client-level demographic identity data

  • Support the Agency in the area of Privacy and Compliance as needed

  • Adheres to Personal Health Information Protection Act, 2004 (PHIPA) and Part X of the Child Youth Family Services Act, 2017 (CYFSA) to protect service recipients’ privacy and establish rules for the collection, use, and disclosure of personal information of individuals while facilitating the effective provision of service.

  • Perform other duties as assigned

Qualifications:

  • Must be between the 15 and 30 years of age at the start of employment.

  • Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment.

  • Some post-secondary education in the relevant area

  • Strong verbal and written communication skills.

  • Strong interpersonal skills with a high level of professionalism and confidentiality.

  • Proficient in Microsoft Office (Word, Excel and PowerPoint).

  • Strong organizational and time management skills

  • Ability to handle and prioritize multiple tasks in a fast-paced environment

  • Comfortable working in-office where health and safety measures have been put in place
